Maanantain 31.8. kokouksessa ensimmäisenä käsittelemme ajankohtaisia asioita.

Tutkimuksen tehotiimi, Belliard ja Hamari, ovat kehitelleet ITC:n tutkimuskartoituskyselyä. Forms-kyselyssä kysyttäisiin mitkä rahoitushaut ja mitkä kestävän kehityksen teemat kiinnostavat ja mitä nyt tutkitaan. Tulokset tulisivat exceliin. Sieltä tutkijat voisivat esim. katsoa mitä kiinnostavaa muut tutkivat, keiden kanssa olisi yhteisiä intressejä jne. Vastauksista olisi hyötyä myös tutkimuspalveluille, jotka osaisivat paremmin kohdentaa tutkijoille tietoja sopivista rahoitushauista.
Aiheesta syntyi runsaasti keskustelua. Yksiköiden päälliköt eivät olleet kovin innostuneita kyselystä. Timo Hämäläinen (tietotekniikka yksikkö) ei haluaisi taas kysyä samaa asiaa (eli mitä tutkitaan), sillä siitä on jo tietoa. Hämäläinen epäili, etteivät kiireiset ihmiset ole kovin motivoituneita vastaamaan kyselyyn. Hämäläinen haluaisi, että pohjat luotaisiin jo olemassa olevaa dataa louhimalla. Kaisa Koskinen (kielet) ja Iiris Ruoho (viestintä) korostavat kanssakäymistä ja keskusteluja, joissa ihmiset kohtaavat toisiaan (toimisi myös Teamsissa), ja dekaanin kahveilla tutkijat toivoivat juuri tämän suuntaisia keskusteluja. Jos kysely tehdään, voisiko vastaukset olla jossain helpommin lähestyttävässä muodossa kuin excelissä.
Eveliina Nurmi (HR) ehdotti, että dekaanin ”maakuntakierrosten” materiaalit otetaan käyttöön. Dekaani Vuorinen on syksyn 2019 ja kevään 2020 aikana käynyt eri yksiköissä tapaamassa tutkijoita, erilaisilla kokoonpanoilla. Ensimmäisellä kierroksella tutkijat/ryhmät/keskukset nimenomaan esittelivät lyhyesti omia tutkimuksiaan. Nyt alkaa uusi kierros, johon myös kaikki johtoryhmälaiset voivat osallistua. Kaikki, jotka olivat olleet mukana, kokivat keskustelut hyödyllisiksi ja hienoksi tavaksi nähdä läheltä mitä eripuolilla tiedekuntaa tehdään ja päästä kuulemaan näkemyksiä erilaisilta tutkimusaloilta. Kati Iltanen ehdotti, että maakuntakierrosten materiaalien työstämiseen voisi/pitäisi palkata joku, tai se voisi olla harjoitus- tai projektityönä.
Syksyllä on tulossa juhlaluentoja. ITC tiedekunnassa on jo kymmenkunta uutta professoria, jotka eivät vielä ole pitäneet juhlaluentoaan. Alun perin juhlaluennot piti pitää keväällä 2020, sitten tilaisuus siirrettiin lokakuulle 2020 ja nyt olemme päätyneet pitämään luennot tms. esittelyt verkossa, niin että tallennetta voisi hyödyntää jatkossakin esim. tiedekunnan markkinointimateriaalina.
Kati Iltanen nostaa esiin koulutuksen ajankohtaisia asioita. Ykkösenä plagiointitarkistus ja Turnit. Turnitin kanssa on ilmennyt ongelmia ainakin signaalikäsittelyn puolella. Keskustelimme asiasta, nyt on lähdettävä selvittämään onko kyseessä laajempikin ongelma. Kati Iltanen laittaa tietoa yliopistotasolla eteenpäin.
Toinen asia Iltasella on koulutusviennin ohjausryhmä, jota yliopisto on nimittämässä, siihen ei tule, ainakaan nyt, ITC:n edustusta. Ja kolmantena opetuksen varadekaanin aiheena on ensi kevään opiskelijavalinnan 2021 kehittäminen ja toteuttaminen.
Opiskelijavalinnoista keskustelu siirtyy ongelmaan, jonka Timo Hämäläinen toi esille: tietojärjestelmästä ei voi saada kerralla ulos minkä verran millekin opintojaksolle on ilmoittautunut opiskelijoita. Hämäläinen: Pitää saada opiskelijamäärät nyt! Onko ainoa mahdollisuus, että jokainen opettaja erikseen ilmoittaa määrät. Jollekin kursseille (tietotekniikassa) on odotettu noin 250 opiskelijaa, onkin tulossa yli 400.
Iltanen toteaa, että Sisusta on vaikea saada nyt dataa ulos. Toivottavasti tulevaisuudessa.
Jyrki Vuorinen on ollut asiassa yhteydessä Yliopistokeskusten koordinaatiojohtaja Tiina Äijälään. Äijälä keskustelemaan johtoryhmään kanssa siitä, minkälaisia tiedonsaantiin liittyviä tarpeita meillä on.
Ensin tutkimuksen kalvot, sitten opetuksen. Uusi vuosisuunnittelu lähtee viime vuoden suunnitelmasta. Monia asioita, joita on kirjattu ensi vuoden suunnitelmaan, tehdään jo. Kyseessä on pitkän aikavälin suunnittelu. Kaikki lukevat ajatuksella vuosisuunnittelun kalvosarjan, viimeinen mahdollisuus kommentoida on keskiviikkona 2.9. aamupalaverissa.

The research power team of Belliard and Hamari have developed the ITC’s research mapping survey. The Forms survey would ask which funding calls and which sustainable development themes are of interest and what people are currently researching. The results would be put in an Excel file. Researchers could look at the file, for example, to see what other people are researching and with whom they might have common interests etc. The answers would be useful for Research Services so that they could improve targeting information on suitable funding calls at researchers.
There was much debate on the issue. The Heads of Units were not very excited about the survey. Timo Hämäläinen (Computing Sciences Unit) would not like to ask the same thing again (ie what people are researching) because we already have that information. Hämäläinen suspected that busy people would not be very motivated to answer the survey. Instead, mining existing data would produce the same information base. Kaisa Koskinen (Languages Unit) and Iiris Ruoho (Communication Sciences Unit) emphasise interaction and discussions where people can meet each other (this would also work on Teams), and researchers hoped that such things could be discussed in the Dean’s coffee hour. If the survey is conducted, could a more inviting way than an Excel file be used?
Eveliina Nurmi (HR) suggested that the materials gathered during the Dean’s “tour of the provinces” should be used. In autumn 2019 and spring 2020, Dean Vuorinen and other people have visited the Units to meet with researchers. A new round of visits is about to start, and members of the Management Group are welcome to join. All those who had been involved found the discussions a useful and good way to see up close what is being done in different parts of the Faculty and to hear perspectives from different fields of research.
This autumn, inaugural lectures will be organised. In the ITC Faculty, already about a dozen new professors have not yet held their inaugural lecture. To begin with, the plan was to organise the lectures last spring and then the event was postponed until October 2020. Now the plan is to organise the lectures, presentations etc. online so that the recording could be used later, for example, to market the Faculty.
Kati Iltanen talked about current issues in education. The most important issue is originality checking and Turnitin. The use of Turnitin has proved to be problematic, at least in signal processing. We discussed the matter and now we need to check whether the problem is more widespread. Kati Iltanen will inform others at the University.
Another thing Iltanen raised was the steering group for transnational education that the University is about to appoint, which does not have a representative from ITC at least for the present. The third point the Vice Dean for Education raised was developing and implementing student intake in the spring of 2021.
The discussion about admissions shifted to a problem Timo Hämäläinen raised: it is not possible to retrieve information on how many students have registered in courses from the study information system at the same time. Hämäläinen: We must have the student numbers now! Is the only alternative that the teachers announce the numbers separately? In some courses in Computing Sciences, around 250 students were expected and now there are as many as 400 enrolments.
Iltanen notes that it is hard to get data out of the Sisu information system for the moment. Hopefully, the problems will be sorted out in the future.
Jyrki Vuorinen has contacted Tiina Äijälä who is the Director of the Coordination of University Consortia in this matter. Äijälä should also come to the Managing Group to discuss the information needs we have.
Then we started to discuss annual planning, which was the big issue of the meeting. The deadline is on Wednesday 2 September. We are quite ready, but we still need to work on our PowerPoint set. Some aspects need to be discussed when all the people are present.
First we have the slides for research and then for teaching. Annual planning begins from last year’s plan (2019). We are already doing several things that we have put in next year’s plan. We are talking about long-term planning. Everyone should read the annual planning slides carefully. The last opportunity to comment on them is in the morning meeting of 2 September.
