Communication is one sort of art. There are many ways to do it right and wrong. Nowadays we use a lot of writing communication styles instead of phone calls and talking face to face. We like that it is easy to just send a message for example by WhatsApp and let people read and answer to our message when it is suitable for them. But…there are going to be a lot of misunderstanding of communicating by messages. Why it is so easy to understand message wrong way and have a big argue even if there were not anything to argue about?
There are some points you could think when you are writing a message:
- Remember that people who read the message can see only the text you wrote, not the process how you wrote that or your thought.
- Think what kind of appearance your message has. Is there a lot of text? Long sentences? Exclamation marks? One important tip: Do not use Caps lock writing in any point in your messages! That is yelling, it is not nice!
- Do you use emojis? If it is informal message, use them to make your message softer and more personal. If it is formal message leave them out to make your writing more professional. Remember that a one little emoji can change the whole message.
- If you are not close with another person you are sending the message be extra polite and proper to make sure that your message is neutral.
- Give to another person time to answer. Especially when you communicate by WhatsApp of other online form. If you write many messages in a row that can be too intense. If there is a misunderstanding and lot of messages coming that looks like arguing and arguing…
- If you start to feel angry and you would like to collar someone’s throat just put your phone away and breath calmly ten times. Everything going to be okay.
- If there is some misunderstanding and an argue, please, just call the person, and solve the problem. More messages just make things worse.
- If there is something important to solve, please call or make the meeting face to face.
Remember these tips when you are answering your messages. Makes it smoother.
